Custom Order FAQ
Everything buyers ask us about MOQ, samples, payment, production and shipping - answered in one place. For the full step-by-step workflow — what you send at each stage and what comes back — see how to order.
MOQ & Pricing
Order quantity and quotations
What is the minimum order quantity (MOQ)?
The standard MOQ is 300 pieces per style per color. Colors do not combine: two colors of the same style at 150 pcs each do not reach 300. There is no separate pilot or trial-order tier and no unit-price premium. Orders under 300 pcs can sometimes be accepted and are discussed case by case, for example a high-value or complex custom item. No quantity below 300 pcs is published. New structures and custom designs are possible. Unbranded ready stock is not sold. See the MOQ and sample-fee page.
Can I mix colors or styles to reach the MOQ?
No. Colors do not combine: two colors of the same style at 150 pcs each do not reach 300. Each style is counted on its own as well.
How long is a quotation valid?
Formal quotations are normally valid for 15 days from the date of issue. After that, if fabric, hardware, packaging, labor, exchange rates or freight costs have changed, we may need to reconfirm the price before accepting the order.
Why is the first price only an estimate?
If you only share a photo, a product link or a rough concept, we can give an initial reference price quickly — but the final price can only be fixed after the size, materials, construction, logo process, quantity for each style and color, accessories, packaging and trade terms are confirmed. The estimate helps you check feasibility; the formal quotation is the binding number.
Samples
Sample development and approval
How long does sample development take?
Samples of an existing style take 3–7 days, counted from the moment the specification, materials, logo files and sample fee are all confirmed. A new structure developed from your sketch or tech pack takes 7–10 working days. Samples that need special materials, custom hardware or new molds are quoted case by case.
How much is the sample fee, and is it refundable?
The sample fee is typically USD 80–250 per sample depending on structural complexity; a completely new structure is quoted separately. The sample fee is refunded only when the first order of that same style reaches 300 pcs per color. A first order of 200 pcs or fewer does not receive a sample-fee refund. For a first order of 201-299 pcs, sample-fee handling is discussed case by case, and no refund is promised. It cannot be credited to another style, and separate orders cannot be added together. Courier is charged at cost (about USD 100–150 to the US or EU). Metal logo and zipper-pull molds (USD 50–150 each, one-time), printing or embroidery plates, special material purchasing and third-party testing are quoted separately and are not refunded. Full detail on the MOQ and sample-fee page.
Who pays for sample shipping?
International sample shipping is paid by the customer. You can provide a DHL, FedEx or UPS collect account, or ask us to prepay the freight and add it to the sample invoice. After shipment we send the courier name, tracking number and shipping date. Import duties and customs fees in the destination country, if any, are the customer's responsibility.
What happens if the sample needs changes?
If the sample does not follow the specifications you already confirmed, we correct it and remake it free of charge. One round of structural revision requested by you is also included in the sample fee. Further design changes to color, material, size, structure, logo or packaging carry a new sample fee. Changes requested after final sample approval also require re-evaluating the price, lead time and any material already purchased.
What is an approved (golden) sample?
Once you approve the final sample in writing, it becomes the sealed reference standard — sometimes called the golden sample. Mass production and final inspection are checked against this sample plus the confirmed spec sheet, logo placement file, material and color records and packaging requirements. We keep one sealed sample at the factory, and you can keep a matching one.
Ordering & Payment
Deposits, invoices and order changes
What are your payment terms?
Standard custom orders: 30% deposit, 70% balance before shipment. Highly customized or complex development orders, or products requiring large special material purchases: 50% deposit, 50% balance before shipment. The final terms are always stated on the Proforma Invoice.
When does production officially start?
The production clock starts only after five things are complete: the final sample is approved, the specification and materials are confirmed, the Proforma Invoice is confirmed, the deposit has arrived, and the production and logo files are confirmed. Delays in any of these move the delivery date accordingly.
Can I cancel or change my order after paying the deposit?
After the deposit arrives we immediately purchase materials and book production. If the order is cancelled at that point, costs already incurred — materials, labor, molds, packaging, printing plates, finished units and supplier cancellation charges — cannot be refunded. Changing quantity, colors, materials, logo or packaging mid-order requires reconfirming the price, lead time and delivery date, and may require a new sample.
Production
Lead times and progress updates
How long does bulk production take?
Standard custom orders take approximately 15–30 days; highly customized or complex orders take approximately 20–45 working days. Large orders, many SKUs, special materials, custom molds and peak-season orders are scheduled individually and confirmed on the Proforma Invoice.
Will I get updates during production?
Yes. We send photo or video updates at key milestones: material arrival, cutting, logo printing or embroidery, sewing and assembly, semi-finished inspection, final inspection, packaging, carton packing and loading.
Customization
What can be customized
What can be customized?
Almost everything: logo and branding in eight in-house techniques, fabric and lining materials, Pantone-matched colors across fabric, thread, webbing and hardware, product size and structure, custom metal hardware and zipper pulls with tooling, and full retail or FBA-ready packaging. You can start from a finished design, a sketch, a reference sample, an Amazon link or just a target price — see the services page for every option.
What logo file format do you need?
Vector files are strongly preferred: AI, PDF, EPS or SVG. If you only have a JPG or PNG, we can evaluate redrawing it as a vector file; a small design fee may apply depending on complexity.
What packaging options are available?
OPP or PE polybags, biodegradable bags, dust bags, shrink wrap, color boxes, plain cartons, magnetic gift boxes, hang tags, barcode and SKU labels, care labels, Amazon FBA labels and printed carton marks. Packaging MOQ, price and sampling time follow the packaging supplier's requirements and are confirmed separately.
Which fabric should I choose — 600D, 900D, rPET or vegan leather?
600D Oxford with a PU coating is the usual baseline: light, water-repellent and cost-efficient. 900D gives a firmer hand and more abrasion resistance, at more weight and cost. If sustainability is part of your positioning, GRS-certified rPET Oxford performs close to standard Oxford and the mill’s certificate can be supplied for your product page. Handbag-style carriers are normally built in PU or microfibre leather over a structured base. Tell us the use case, the positioning and your target retail price, and we propose two or three directions and send swatches; exact GSM and coating are confirmed against the fabric you pick, and colors are matched to Pantone. The fabric selection guide compares the options in full.
Which logo methods affect the MOQ or the unit price?
We run embroidery, woven labels, screen and heat-transfer printing, digital and UV printing, metal logo plates and rubber or PU patches. Effect and positioning differ more than cost does: a metal plate reads premium, a woven label is economical, a rubber patch suits outdoor styling, and full-color or gradient artwork belongs in digital or UV printing. The ones to settle early are the tooled processes — moulded patches and custom metal hardware carry minimum quantities of their own, which can sit above your order quantity, and plate or mould charges follow artwork complexity, size, color count and material. Packaging has its own MOQ, price and sampling time set by the packaging supplier, and it is often higher than the product MOQ. The logo and packaging guide works through each method.
Shipping & Trade Terms
Delivery, freight and Amazon FBA
Which trade terms and shipping methods do you support?
We quote EXW, FOB, CFR, CIF, DAP and DDP under Incoterms 2020, and ship by international express, air freight, sea freight, rail or directly into Amazon FBA. Full containers normally load FOB Ningbo, LCL consignments can start from Yiwu, and air freight leaves from Shanghai Pudong (PVG) or Hangzhou Xiaoshan (HGH); the actual port is stated on the quotation. You are welcome to use your own forwarder in China, or we can arrange the freight. Which term suits you is set out in our Incoterms and landed-cost guide.
Can you deliver directly to Amazon FBA?
Yes. We apply FNSKU and ASIN labels and suffocation warnings on the units, pack to Amazon’s carton requirements and ship directly to the FBA warehouse you assign, by express, air or sea. We need the warehouse address, the shipment ID and your label files. FBA prep — labelling, warnings and packing to FBA specification — is listed as a separate line on the quotation rather than included free.
Which Incoterm should I choose?
If you already have a forwarder in China, FOB is usually the cleanest: we cover inland transport, export clearance and loading, and hand over at the port. If you would rather not manage freight at all, CIF to your port or DDP to your door lets us arrange everything. If you clear customs under your own importer number and want to reclaim the import VAT, ask for DAP rather than DDP. We can list two or three terms side by side on the same quotation so you can compare them against your own forwarder’s numbers.
Does a DDP price include import duty and VAT?
DAP covers transport to your address but not import duty or import VAT; DDP includes them. Before we quote DDP we need to know whether you clear customs under your own importer number — buyers who can reclaim VAT usually prefer duty and VAT excluded — or whether we should handle clearance and taxes. The quotation states which it is. Pricing DDP also needs the delivery address and postcode, whether it is a warehouse, fulfilment centre or FBA warehouse, the HS code and duty rate for your market, and whether you require full formal clearance documents.
How much is the freight to my country?
Freight is quoted per shipment rather than from a price list, because it follows quantity, carton volume and gross weight, destination and mode. What we give you at quotation stage is the packed unit size and weight, the pieces per export carton, the carton dimensions, gross weight and total CBM — enough for you to price it with your own forwarder. Send us the delivery address or nearest port, whether you want port-to-port or door-to-door, and whether you already have a forwarder, and we come back with two or three options showing cost and transit time. Around 15 CBM is where a full container starts to make more sense than LCL.
How long is the shipping transit time?
As an indication only: sea transit runs about 15–20 days to the US West Coast, 30–35 days to the US East Coast, 30–40 days to the main European ports and 20–25 days to Australia; air freight about 5–8 days and international express 3–7 days. These are the forwarder’s reference figures rather than a commitment — space tightens from August to October and before Chinese New Year, and the booked sailing always decides. Production lead time is counted to the goods being ready at the factory; FOB loading adds roughly 5–7 days for booking and inland trucking.
Which export documents do you provide?
Every shipment leaves as a properly declared export: commercial invoice, packing list, export customs declaration, bill of lading or air waybill, cargo and loading photographs and shipping marks, with a certificate of origin on request. If you clear customs yourself, send us the list your broker needs and we prepare the documents to match it.
Quality & Compliance
Inspection, testing and certifications
How is quality controlled during production?
Quality control combines full inspection with sampling inspection across the whole run: incoming material inspection, pre-production confirmation, first-piece confirmation, in-process checks, semi-finished and finished product inspection, packaging checks and a pre-shipment sampling inspection. Depending on the product we also run load, tensile, zipper, seam-strength, hardware, drop and transportation tests. See our quality control checklist for the full inspection plan.
Can I arrange a third-party inspection?
Yes — your own inspector, your sourcing agent, or companies such as SGS, Intertek, Bureau Veritas or TÜV are all welcome. The factory prepares the goods, order documents, approved sample and inspection space, and cooperates fully. Third-party inspection fees and travel costs are paid by the customer.
Do your products come with certifications and test reports?
Factory audits: amfori BSCI and SGS. Quality management: ISO 9001. Material compliance: REACH documentation is supplied by our fabric mills; CA Prop 65 and other market-specific tests are arranged per order with third-party labs. No single report automatically covers every product and market.
Which product tests can you run, and to which standards?
In-house we test load and pull strength, zipper function, seam strength, buckles and hardware, drop resistance and transport packaging. Where you need a formal report we commission a third-party laboratory to the standard you name — for example ASTM D2061 and D2062 for zipper strength and self-locking, ASTM B117 salt spray for hardware plating, and AATCC 8 or ISO 105 for color fastness — and agree the method, sample count, acceptance criteria and cost with you before testing starts. Our hardware plating is lead-free and nickel-free and passes salt-spray testing.
Can you supply IATA-certified airline pet carriers?
There is no IATA certificate for a soft carrier: each airline sets its own under-seat size and weight limits, so no factory can honestly issue one. What we do is build to the limits you name — a soft, compressible structure that fits under the seat of the airlines you target, mesh ventilation on several sides, lockable zippers, a leak-proof base and an internal tether. Tell us the airlines or the maximum dimensions and we build the sample to them. For your listing we recommend wording such as “meets most airlines’ under-seat requirements” rather than “airline approved”; the airline carrier size guide has the dimension ranges.
Is a treat pocket or feeding liner food-contact compliant?
Only with a report for that specific material. For a removable liner that touches food we can use a food-grade lining and, where your market requires it, commission the matching food-contact test — FDA for the United States, LFGB or EU 10/2011 for Europe — on that material. We do not describe a product as food-contact compliant before the report is in hand, so tell us the market and we include the test in the plan.
Do you make bowls, bottles and other pet accessories in your own workshop?
About 90% of our pet products are made in-house; the rest, such as silicone bowls, bottles, food containers and metal tags, come from qualified partner suppliers, and your quotation marks which items are made in-house and which are sourced. Jinhua Yilan is an integrated manufacturer and trading company with its own production. Core customer orders and premium products are made in-house; selected simpler products may be produced by qualified partner facilities under our quality control. Specialised components such as transparent PC windows come from external specialists.
Seasonal Planning
Chinese New Year and peak season
Do you accept orders during Chinese New Year?
Yes. Inquiries, quotations, specification and sample confirmation, purchase orders and ODM project work all continue through the Chinese New Year period. What stops is the factory floor: mass production, cutting, sewing, bulk packing, line QC and any sample that depends on the production line. Orders placed during the shutdown are accepted and enter the post-holiday production queue.
When does the factory stop and restart for Chinese New Year?
The date moves every year, and we never derive it from last year’s. The rule is fixed to the State Council’s official holiday announcement for that year: production stops 10 days before the official holiday begins, and the buffer period ends 10 days after it finishes. Reopening is not the same as full output — staff return in stages, and fabric, printing, hardware and packaging suppliers restart on their own schedules with the pre-holiday backlog ahead of you in the queue.
How should I plan an order around the shutdown?
Work backwards from your shelf date and treat the shutdown as a fixed block: order confirmation date, plus the shutdown window, plus material lead time, plus the production queue, plus the actual production lead time. As the window approaches, fabric, printing, packaging and shipping space tighten at the same time, so the honest answer to “can you finish before the holiday” is a schedule check rather than a yes. We confirm the earliest realistic shipping date against the live production schedule for your quantity and specification. Full detail in the Chinese New Year production schedule guide.
After-Sales
After delivery
What if I find a problem after receiving the goods?
Please inspect the goods within 7–15 days of delivery and report any quantity, packaging, appearance or workmanship issue with your PI number, the SKU, affected quantity, batch information and clear photos or videos. If the issue is confirmed as a production fault, we will agree a solution: replacement products or parts, rework, replenishment in your next order or a credit. Transport damage, storage issues, misuse, unauthorized modification and outcomes of a customer-approved design are assessed separately.
Scope
What we do not do
Do you sell to consumers or in retail quantities?
No. Eland Bag sells B2B only — to wholesale buyers, importers, retail chains and private-label brands. We are not a retailer, we do not sell single units to consumers, and we cannot take retail or dropshipping orders. Unbranded ready stock is not sold. Unbranded ready stock is not sold.
